VPO GUIDELINES COMPLIANCE
Assessment of Integrated Technology Platform
There is an established platform for internal and external communication and access to client documents. Internal communications between VPO team and your staff will be via Phone/Skype and email (Outlook). The outsourced staff will report to the Senior Accounts Manager responsible for handling a particular client.
Our back office team will also have BOX access where files are saved by your admin staff and it can be accessed in a confidential and secured manner, as already included in aforementioned IT security compliances. Since, BOX is a cloud based software, the speed of system interfaces is not compromised.
Communication between clients and operation team can be via emails and Skype. Alternatively, client can provide us remote server access and we can work in the remote server itself without any cloud updates.
Time Accountability
For every jobs allocated, standard budgeted time is set by CPA firm. Any alterations to standard time, due to nature of jobs allocated, will be communicated to you. Upon approval, we process the jobs.
Evaluation of Service Provider Technology Platform
Network
To ensure smooth job flow and prompt processing, VPO has a high-level infrastructure with leased lines from two leading ISPs. The staffs will have full access to internet services during office hours with second line as adequate backup.
Software and Hardware
Desktops with i5 processor, 4gb RAM and 500gb hard drive or more are at accessibility to all staffs. Every system has an internet security installed to tackle with various malwares and spams. An internal server is created for access to jobs by internal staffs as they aren’t provided box access. Leased lines reduce down time in use of server and jobs are processed in server rather than local drive which ensures client confidentiality and data integrity.
File Sharing
Files shared externally to clients have 128-bit encryption. Files are saved in box, which only partners and clients can access. Data privacy policies have been implemented and data privacy is consented by every staffs in offer letters issued to them. Confidentiality agreement with client is made in SLA signed on initiation of agreement.

Agreements with different professionals for ease of job processing and compliance is to be made for Actuarial certifications, depreciation reports etc.

Data will be stored in BOX which is highly secured. Only VPO partners will have access to BOX alongside clients. The client can remove any data from box after completion of jobs after confirmation with VPO and only after taking backups to their local servers..

Legal Issues
SLA will be signed with every client stating terms and conditions of agreement which shall be legally binding. Confidentiality agreement are signed before any contract.
