Staff access an internal server; they are never granted direct BOX access. All staff sign data privacy consent in their employment offer letters. Client data can be removed from BOX post-engagement, only after backup confirmation with VPO.

All staff operate on dedicated desktops with Intel i5 processors, 4GB RAM and 500GB+ hard drives — each equipped with licensed internet security software to prevent malware and spam exposure. To ensure continuous uptime, VPO maintains leased-line connections from two leading ISPs, with the second line serving as a live failover. Jobs are processed on an internal server rather than local drives, preserving client data integrity and confidentiality.

Internal communication between VPO team and client staff is conducted via Phone, Skype, and Outlook email. All outsourced staff report directly to the Senior Accounts Manager responsible for that client's portfolio. Client-facing communication operates via email and Skype. Where preferred, clients may also provide remote server access allowing VPO staff to work directly.

For each job allocated, a standard budgeted time is set in advance by the CPA firm. If the nature of a specific job requires a deviation from that standard, VPO communicates the adjustment and awaits client approval before processing proceeds. This ensures complete transparency across billing, turnaround expectations, and workflow planning.

VPO hires accounting professionals with technical expertise across Australian tax and compliance domains. Senior management roles are filled exclusively by Chartered Accountants from India, Nepal, and the UK. For every new client onboarded, VPO maintains a minimum bench capacity of three staff — ensuring immediate resourcing without onboarding delays.

Weekly training sessions are held to sharpen technical skills, maintain motivation, and integrate new processors seamlessly into live workflows. A comprehensive SLA is signed with every client prior to engagement, outlining all terms, obligations, and legally binding conditions.
